What is workforce management?

Workforce management encompasses all the activities needed to maintain a productive workforce which falls under the umbrella of HR management. Specifically, this includes:

• Payroll and benefits.

• HR administration.

• Employee self-services.

• Time and attendance.

• Career and succession planning/talent acquisition and management.

• Learning management and/or training management.

• Performance management.

• Forecasting and scheduling.

• Labour budgeting.

• Workforce tracking and emergency assist.

• Absence and leave management.

Eco Time Technology’s Time Management Solutions make it possible to tick many of the boxes mentioned above. Eco Time’s hardware and software products have been developed and enhanced over the years to offer an integrated range of systems.

The products are locally developed and manufactured for the South African market. This facilitates timeous response and quick turnaround times on requests for support, and the capacity to provide excellent levels of service in addressing clients’ needs and the occasional request for specific enhancements.

The following modules are available:

Time and attendance: The CSTime Time and Attendance software is easy to use. It is flexible and may be customised to provide each client with a best-fit solution.

Rostering/scheduling: The rostering module is invaluable in managing your workforce where your staff do not always work predetermined shift patterns, but change sporadically from one shift to another at short notice. Rostering allows one to allocate an employee to a shift that differs from that which they normally work, just for a given day. This can be done for a predetermined future shift pattern in order to pre-roster staff on various shifts.

Real-time attendance monitor: This module allows one to see who is clocked in and who is clocked out, in real time. The Attendance Monitor replaces the manual in/out board. It is for use by a receptionist or personal assistant, and anyone that needs to know who is currently on the premises.

Access control: One of the most important aspects of workforce management is controlling access selectively to the areas into which the members of the workforce may, or may not, be permitted. It is vital to secure one’s premises adequately and eliminate unauthorised entry onto the premises.

HR and leave management: It has become a priority for companies to eliminate paper based systems and to make information more readily (but selectively) available to managers. The CSTime HR and leave management module is designed to do just that.

Labour costing: Labour costing is an invaluable tool for managers who need to track the amount of man hours spent on a specific job. It tracks the time per employee from the moment they clock onto a job. The system can cater for multiple jobs per day as well as a single job over many days, weeks etc.

The CSTime system automates the collection of employee attendance information and processes and summarises the time that has been worked. This drastically improves the efficiency over the process of calculating workforce man hours and eliminates the calculation errors that are inherent in systems that require manual intervention. The resulting data (payroll hours and leave information) can be fed directly into the client’s payroll system.
