CS Systems Integration, a division of JSE-listed CS Holdings, has successfully implemented a time and attendance system at the Radisson Hotel Waterfront in Cape Town. The Radisson is a first-class international hotel, requiring high levels of operational and administrative efficiency to meet customer requirements.
"Previously, attendance registers were used to keep record of the various shifts worked by the hotel staff," explains Debra Sivertsen, HR Manager at Radisson Hotel. "These were usually filled out by the employees themselves, and there were no controls in place to monitor the accuracy of the information."
"The concept of Frontline Labour Management (FLM) - the distribution of labour information to line managers at its peak value, originated in the US about 15 years ago with the advent of networkable IT infrastructures. The premise of this being that the people responsible for the costs of labour are responsible for the management thereof," explains Carl Blake, a Director of CS Systems Integration.

"Time and attendance is a Kronos application that captures employee data and calculates labour costs," Blake continues. Kronos is a wordwide provider of solutions for frontline labour management, and offers a broad suite of applications for managing employee time and activity data, scheduling the workforce, and providing frontline managers with the tools needed to measure and improve labour productivity.
"First, employee information is captured using data collection technology. Then, time and attendance software applies Radisson's pay rules as they relate to each individual employee, and calculates the gross hours to be paid according to overtime, premium, and other pay rules. Finally, the application prepares the data for transfer to other systems, such as reporting or payroll applications."
CS Holdings had to customise the software to suit the hotel's specific needs. This done, implementation proceeded smoothly. "The new time and attendance system delivers a consistent, accurate, and precise method to calculate employee pay and manage the attendance records of employees," says Sivertsen.
"Although management is also utilising the Kronos system for scheduling, we have not by any means unlocked the application's full potential," she continues. "However, as we become more familiar with the system, we will definitely utilise more of its features."
"Attendance tracking provides managers with realtime reporting and historical views for employee attendance patterns," says Blake. "For employees, the technology offers the assurance that they are paid properly and fairly for their hours worked. Additionally, the Kronos system feeds information back to the employees, enabling them to check their own records," he concludes.
