The introduction of the newly legislated PoPI Act has introduced the requirement for a more robust approach to visitor management through the distribution channel. Various manufacturers opt to go direct to end users and often seasoned security integrators miss out on opportunities to offer a true end-to-end solution to their clients as a result.

Access and Beyond, agile distribution company, has introduced a comprehensive visitor management solution allowing for a well-tested visitor pre-registration process which may include Covid health checks, signing of legal disclaimers/indemnities, as well as map links to navigate visitors to the correct street address. This scalable turnkey solution can manage access for boom gate vehicle processing, right through to a reception kiosk check-in station, depending on the specific requirement.

From a safety and security point of view, the solution includes a digital evacuation list, a link to the national database of stolen vehicles and Home Affairs, OTP (one-time PIN) or voice clearance options and the boom gate triggers once customisable security clearance protocols have been met in order to gain access.

The reception tablet check-in solution allows for a white-labelled digital welcome display screen with your corporate logo, making a great first impression. With returning staff and visitor recognition it becomes unnecessary to complete all the tedious information on each check-in as the system keeps a full record. Customise your workflows for meetings, interviews, training, events, reason for visit, or print a visitor badge, all from an easy-to-use web portal. Staff receive an immediate email and SMS notification on their visitor arrivals.

The mobile application (downloadable from Google Playstore or Apple iStore) allows staff to complete their daily health checks for pre-clearance to their workplace, thereby allowing the system to instantly manage capacity for the day. Staff are likewise able to pre-book and instantly send visitor invitations via SMS, WhatsApp or email, thus catering for visitors that may not have one or the other communication methods.

The Residential Estate Visitor Management allows for a fully digital experience, all in the palm of the resident’s hand, with features such as instant notifications, bulk communication (such as newsletters), HOA updates, a facilities support ticketing system and sending OTP to visitors.

This fully cloud-based platform allows for centralised reporting with dashboard analytics allowing management to track behavioural exceptions and to block unauthorised or undesired individuals and vehicles from entering from anywhere at any time.
